There's a pattern showing up on almost every team that's started using AI tools, and it looks something like this: one person — usually whoever was most enthusiastic early on — becomes the de facto AI operator. They're the one who knows the prompts, runs the tools, and produces the outputs. Everyone else either waits for them or watches from the sidelines.

Teams that do this well use structured spaces where outputs are stored alongside the prompts, the intended use, and notes on what to change. This makes it easy for anyone to pick up where someone else left off.
Rotate who runs the tools. If one person is always doing the generation, the expertise never spreads. Deliberately ask different team members to run AI tasks, even if the "AI expert" has to write the first prompt. The goal is for multiple people to develop intuition, not to protect efficiency in the short term.
Build a lightweight review step. Don't go straight from AI output to published content.
